Request for Excused Absence for Significant Event Participation (REASE)

Request Categories 

Varsity Athletic Events: A varsity athletics team or club member participating in a sanctioned significant event (e.g. provincial, national, or international competitions) where student participation is essential to the success of the team or individual athletic achievement, during regular season and playoffs. Please provide two weeks notice.

Non-Varsity Athletic Events: A student who is engaged in sport or physical activity but who is not on a varsity team or club but who is participating in a significant event (e.g. provincial, national, or international competitions) where participation is essential to the success of the team or individual athletic achievement.

Distinguished or Invited Guest: A student who is invited to showcase an exceptional achievement, talent, or ability on a provincial, national or international stage. Participation in these events would highlight the talent of Queen’s students.

Students Serving in the Reserve Forces: Students who are active members in the Student Reserve Forces and who encounter a conflict between their duties as a Student Reservists and their academic obligations.

Request Processes

 

Varsity Athletic Events

1. Complete the top portion of the appropriate REASE Form. Once submitted, the High Performance (HP) Office will review. 

2. If the request is verified and supported, you will receive an email with the signed copy of the form and supporting documentation in a PDF. Click on "You can view the document in your Adobe Acrobat Sign account" to download the REASE Form & Supporting Documentation Letter as a single PDF.

3. Submit to your Faculty for Academic Consideration and attach the PDF with the REASE Form and Supporting Documentation Letter. You must follow the correct process for your Faculty.

  • Faculty of Arts and Science (online portal for requests for academic consideration – paper requests not accepted)
  •  (go to the Commerce Portal for your program for additional information)
  • School of Graduate Studies
  •  (if you are in concurrent-ed, contact your undergraduate faculty otherwise, contact the Associate Dean)

Non-Varsity Athletic Events, Distinguished or Invited Guest, & Students Serving in the Reserve Forces

1. Complete the top half of the REASE Form (PDF 116 KB). Include course codes, instructor names, and deliverables with specific details (e.g., CHEM 112 midterm on October 1st, BIOL 102 assignment #4 due October 3rd, etc.).

2. Gather all supplemental and supporting documentation:

  • Non-Varsity Athletic Events & Distinguished or Invited Guest: event/activity name, description, invitation to participate, event/organization website, schedule, details on nominating/selection process
  • Students Serving in the Reserve Forces: event/activity name, description, invitation to participate, or Reserve class, event/organization website, schedule, details on nominating/selection process). Documentation from a student-reservist’s chain of command (i.e. Adjutant or Sub-Unit Commander) will typically be required to substantiate the request for academic consideration. 

3. Attach form and all supporting documentation and email it to the Office of Vice-Provost and Dean of Student Affairs at studentaffairs@queensu.ca.

4. If the request is verified and supported, Student Affairs will email the REASE form and supporting documentation to the appropriate Faculty/School contact and copy the student so both parties can work together to determine considerations with instructors.
