
Lead, connect, and strengthen the Queen’s alumni community
ROLE OVERVIEW
The Volunteer and Operations Lead supports the smooth functioning of the Alumni Branch by helping ensure volunteers are welcomed, supported, and able to contribute effectively. This role focuses on volunteer coordination, meeting rhythm, and operational continuity, helping the branch function in a sustainable and organized way.
Working closely with the Co-Presidents and Advancement staff, this role helps implement volunteer processes and governance practices within staff-led frameworks. It is well suited to someone who enjoys coordination, follow-through, and supporting others to succeed.
KEY RESPONSIBILITIES
Volunteer Onboarding and Support
- Support the onboarding and integration of new volunteers using staff-provided materials, tools, and processes.
- Help reinforce role clarity, expectations, and shared ways of working across the volunteer leadership team.
- Support volunteer engagement, recognition, and retention throughout the term.
- Contribute to leadership continuity by supporting transitions and succession planning.
Branch Operations & Coordination
- Support the implementation of branch governance practices developed in partnership with Advancement staff.
- Assist with meeting coordination, including scheduling, agendas, minutes, and action tracking.
- Help ensure consistent information flow and coordination across the volunteer leadership team.
- Light data collection and reporting (volunteer hours, event engagement tracking, etc.)
Recruitment Support (as needed)
- Support the Co-Presidents during the volunteer interview process as requested, including scheduling interviews or participating as a secondary panel member.
Note: Volunteer recruitment strategy, outreach, screening, and final approvals remain staff-led responsibilities.
KEY PARTNERS
- Co-President(s): Coordinate volunteer onboarding, role clarity, and leadership transitions; support interview and onboarding phases as requested.
- Alumni Engagement Officer (Staff Partner): Provide onboarding materials, governance guidance, policies, and approvals.
- Communications & Marketing Lead: Coordinate internal volunteer communications and ensure timely sharing of updates.
- All Area Leads: Support onboarding, coordination, and ongoing alignment across volunteer roles.

TIME COMMITMENT
Approximately 4–6 hours per month, with the potential for increased activity during volunteer recruitment cycles or events.
The Volunteer and Operations Lead is appointed for a two-year term which may be renewed by the Branch and Alumni Strategy team.
